Thank you for visiting the Privacy Policy of Travel China With Me (“TCWM,” “we,” “us,” or “our“). This Privacy Policy explains how we collect, use, disclose, and protect information about you (“you” or “user“) when you access or use our website at travelchinawith.me, book our services, or otherwise interact with us (collectively, the “Services“).

Please read this Privacy Policy carefully. By using our Services, you acknowledge that you have read and understood this Privacy Policy. Where we are required by applicable law to obtain your separate or explicit consent before processing certain information (for example, sensitive personal information under China’s Personal Information Protection Law), we will seek that consent through a dedicated consent mechanism, and your general use of the Services alone will not be treated as consent for those specific purposes.

Users are responsible for any third-party data (for example, a travel companion’s or family member’s information) they provide or share through the Services, and confirm that they have obtained that third party’s consent before providing such data to us.

1. Who We Are

Travel China With Me is an inbound China travel operator headquartered in Kunming, Yunnan, China, with partner teams or offices in destinations across China. We are the data controller (and, under China’s Personal Information Protection Law, the “personal information handler”) responsible for the information described in this Privacy Policy.

Our contact details are set out in Section 16 (Contact Us) below.

2. Information We Collect

Log and Usage Information: such as browser type, hardware model, operating system, IP address, unique device identifiers, access times, pages viewed, links clicked, referring/exit pages, and general browsing behavior.

Account Information: if you create an account on the Services, we collect the information you provide, such as your first and last name, username, password, and email address.

Inquiry and Booking Information: when you contact us or request a quote, we collect your name, email address, phone number or messaging app ID (such as WhatsApp or WeChat), destination and travel preferences, and the content of your messages to us.

Traveler Personal Information (including Sensitive Personal Information): if you book a package tour or other travel service with us, we collect, for you and each traveler in your party:

  • Full name, gender, and date of birth;
  • Passport number, nationality, and passport expiry date;
  • Contact details (phone number, email, and SNS/messaging account);
  • Any additional information you choose to share with us that is necessary to arrange your trip, such as dietary requirements, mobility or accessibility needs, or health information relevant to your travel arrangements.

Passport numbers, nationality, and any health- or accessibility-related information you share with us are treated as sensitive personal information under applicable law, including China’s Personal Information Protection Law (“PIPL“). We collect this information because it is necessary to arrange your itinerary, book transportation and accommodation, and comply with Chinese travel, hotel-registration, and public-security regulations that apply to foreign visitors. See Section 10 for how we handle this information and how we obtain your consent.

Payment Information: we do not directly store full payment card numbers. Payments are processed by third-party payment processors or via bank transfer; we retain only the records necessary to confirm payment (such as transaction reference, amount, and date).

3. Sources of Information and Tracking Technologies

We collect information that you directly provide to us, such as when you submit a contact form, send us a message, or complete a booking.

We may also receive information about you from travel partners you book through (such as a travel agent or online travel platform), payment processors, and marketing partners. We may combine this information with other information we collect from or about you; in that case, this Privacy Policy governs the handling of the combined information.

We and our partners use cookies, web beacons, pixels, and similar technologies to operate the Services, remember your preferences, and analyze traffic. Cookies are small text files stored on your device. You can set your browser to reject cookies altogether, to reject our cookies specifically, or to delete cookies already stored — however, this may prevent some or all of the Services from functioning correctly.

4. How We Use Your Information

We use the information we collect to:

  • Respond to inquiries, prepare quotes, and arrange, confirm, and deliver tour, guiding, and transportation services;
  • Communicate with you before, during, and after your trip, including sending confirmations, itineraries, receipts, and service-related notices;
  • Complete hotel check-in, transportation, and attraction-ticketing formalities that require traveler identity information under Chinese law;
  • Process payments and prevent fraud;
  • Improve our website and services, and understand how visitors use our Services;
  • Send you promotional messages or newsletters, where you have opted in to receive them;
  • Comply with our legal, regulatory, and tax obligations, including applicable Chinese tourism and public-security reporting requirements; and
  • Protect the rights, property, and safety of TCWM, our travelers, our guides and drivers, and the public.

5. How We May Share Information

We may share your information in the following situations:

  • Ground Service Providers. We share traveler information with the hotels, guides, drivers, and transportation providers, and attraction/ticketing operators directly involved in delivering your booked trip, limited to what each provider needs to perform their part of the service (for example, a hotel needs your name and passport details for check-in registration; a driver typically only needs your name and pickup details).
  • Service Providers. We share data with vendors who support our business operations, such as website hosting, payment processing, email/communication tools, and analytics providers, under confidentiality and data-protection obligations.
  • Government and Regulatory Authorities. Chinese law requires hotels and, in some circumstances, tour operators to register the identity information of foreign visitors with local public security and tourism authorities as part of standard travel and accommodation registration procedures. Where applicable to your itinerary, your name, passport details, and nationality may be submitted to these authorities for this purpose. We do not share your information with government authorities for any other purpose except where required by a valid legal request.
  • Change in Business. We may share data in connection with a corporate transaction, such as a merger, acquisition, reorganization, or sale of business assets, subject to confidentiality safeguards.
  • To Comply with Law. We may disclose data in response to a lawful request from a public authority, or where necessary to protect the rights, safety, or property of TCWM or others.
  • With Your Consent. We may share data with other third parties when you have given us your consent to do so.
  • Advertising and Analytics Partners. See Section 7 (Advertising and Analytics) below.

We do not sell your personal information to third parties for their own independent marketing purposes.

6. Cross-Border Transfer of Personal Information

Our website is hosted on servers located in Washington, D.C., United States. As a result, personal information you submit through our website — including inquiry, account, and traveler information — is transferred to, and stored and processed in, the United States.

Where we transfer your personal information outside of mainland China, we take steps required under PIPL to protect it, which may include obtaining your separate consent, entering into a standard contract for cross-border transfer of personal information with the receiving party, and/or relying on another cross-border transfer mechanism recognized under PIPL, as applicable to the volume and sensitivity of the data involved. See Section 10 for more detail.

If you are located in the EEA, UK, or Switzerland, we additionally take account of your rights under the GDPR when your information is transferred outside those regions, as described in Section 11.

7. Advertising and Analytics

Google Analytics

We use Google Analytics, an analytics service provided by Google LLC, to understand how visitors use our Services and to improve them. To learn more, see Google’s Privacy Policy. You can opt out using the Google Analytics Opt-out Browser Add-on.

Interest-Based Advertising

We may allow third-party companies, including ad networks, to serve advertisements and/or collect certain information when you visit our website, using pseudonymized data (such as click-stream information, browser type, and pages viewed) to show you advertising likely to interest you, on our website and others. To learn more or opt out, visit AboutAds.info/choices or NetworkAdvertising.org/choices.

Some third-party companies may also use non-cookie technologies (such as statistical IDs); browser cookie-blocking settings may not affect these. The opt-outs above apply only to interest-based advertising and may not apply to analytics or attribution.

Some browsers offer “Do Not Track” signals. These signals are not yet uniform across browsers, and we do not currently respond to them.

8. Data Security

We implement technical and organizational security measures designed to protect your information, including restricting access to traveler personal information (including passport data) to staff who need it to arrange your trip, and using encrypted connections (HTTPS) for data submitted through our website. Despite our efforts, no security measure is completely impenetrable, and we cannot guarantee absolute security.

9. Data Retention

We retain the information we collect for as long as necessary to fulfil the purposes described in this Privacy Policy, including to deliver your booked services, respond to post-trip questions, and meet our legal, tax, and regulatory obligations. As a general guide:

  • Traveler personal information (including passport details) is generally retained for the duration necessary to complete your trip and any applicable post-trip period required for accounting, tax, or regulatory record-keeping, after which it is deleted or anonymized unless a longer period is required by law.
  • Inquiry information from visitors who do not proceed to book is generally retained for a reasonable period to allow us to follow up, after which it is deleted if no booking results.
  • Website log and analytics data is retained in accordance with the retention settings of the relevant analytics tool (see Section 7).

10. Your Rights Under China’s Personal Information Protection Law (PIPL)

Because TCWM is based in China and processes the personal information of travelers to China, we handle personal information in accordance with PIPL, in addition to any other law that may apply to you (such as the GDPR or CCPA, described below).

Consent. Where PIPL requires your consent, we obtain it before processing your personal information for the relevant purpose. For sensitive personal information — including your passport number, nationality (where processed for identity-verification purposes), and any health or accessibility information you share with us — PIPL requires your separate, specific consent. We collect this consent at the point you provide such information to us (for example, when completing a booking form), and we explain why the information is necessary at that time. You may withdraw consent at any time by contacting us using the details in Section 16; withdrawing consent will not affect processing already carried out, but may limit our ability to deliver services that depend on that information (for example, we cannot complete hotel registration without your passport details).

Cross-border transfer. As explained in Section 6, our website is hosted outside mainland China, and information about your ground-service arrangements may also be shared with providers or authorities as described in Section 5. Where PIPL requires it, we will obtain your separate consent to these transfers and put in place the transfer mechanism required by law (such as a standard contract for cross-border transfer).

Your rights. Subject to legal exceptions, you have the right to:

  • know what personal information we hold about you and how we process it;
  • access and obtain a copy of your personal information;
  • correct or supplement inaccurate or incomplete personal information;
  • request deletion of your personal information, where legally permissible;
  • withdraw consent previously given;
  • request that we explain our processing rules to you; and
  • request that we transfer your personal information to another handler, where technically feasible and required by law.

To exercise any of these rights, contact us at sales@travelchinawith.me. We will verify your identity before responding and will respond within the timeframe required by applicable law.

Reporting to government authorities. As described in Section 5, certain traveler identity information may be submitted to local public security or tourism authorities as part of standard hotel and travel registration procedures required of foreign visitors under Chinese law. This is a legal obligation rather than a matter of consent, and applies regardless of whether you book directly with us or through a partner.

11. Your Rights Under the GDPR (EEA / UK Visitors)

If you are located in the European Economic Area, the United Kingdom, or Switzerland, you have certain statutory rights under the General Data Protection Regulation (“GDPR“) in relation to your personal data (“Personal Data“).

We process your Personal Data on the following legal grounds:

  • Contractual necessity: to enter into or perform our contract with you (for example, to arrange and deliver your booked trip).
  • Consent: where you have given consent, such as for marketing communications or certain cookies. You may withdraw consent at any time.
  • Legitimate interests: to operate, secure, and improve our Services, communicate with you, and prevent fraud, provided this does not override your fundamental rights and interests.
  • Legal obligation: to comply with applicable law, including travel- and accommodation-registration requirements.

Your Rights

Subject to legal exemptions, you may have the right to:

  • request a copy of the Personal Data we hold about you;
  • request correction of inaccurate Personal Data;
  • request deletion of your Personal Data;
  • object to or restrict certain processing of your Personal Data; and
  • request data portability, where technically feasible.

To exercise these rights, email sales@travelchinawith.me. We generally respond within one month; if your request is complex, we may take longer and will let you know.

You also have the right to lodge a complaint with your local data protection authority.

12. Your Rights Under CCPA/CPRA (California Visitors)

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (“CCPA/CPRA“), gives you certain rights over your personal information.

We do not sell or share your personal information for cross-context behavioral advertising in exchange for money. We may use analytics and advertising technologies described in Section 7, which California law may in some cases treat as a “sale” or “share” of personal information; to opt out of this, use the opt-out links in Section 7 or contact us at sales@travelchinawith.me.

Subject to certain exceptions, California residents have the right to:

  • know what personal information we have collected, used, and disclosed about them;
  • request deletion of their personal information;
  • correct inaccurate personal information; and
  • not be discriminated against for exercising these rights.

13. Age Limitations

Our Services are intended for use by adults aged 18 and over, and are not directed at children. We do not knowingly collect personal information from children under 16. Traveler information for minors is collected only when a minor is included in a booking made and consented to by their parent or legal guardian, as part of that adult’s booking. If you believe a child has provided us with personal information without appropriate parental or guardian consent, please contact us at the address in Section 16 so we can delete it.

14. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. We encourage you to review this page periodically. If changes are material, we may provide additional notice, such as by email or a notice on our Services. Your continued use of the Services after changes take effect indicates your acceptance of the updated Privacy Policy.

15. Newsletters

You can opt out of marketing emails and newsletters at any time by contacting us as described in Section 16 (Contact Us), or by using the unsubscribe link in any marketing email. We may still send you transactional messages related to a booking or inquiry you have made with us.
